Description The primary purpose of this position is to serve as the principal office assistant performing various administrative and clerical duties in support of the organization. Performs office automation duties such as word processing in support of the administrative and clerical work. The position is located in a multi-layered organization, with subordinate groups which differ from each other in terms of subject matter, functions, relationships with other organizations, and admin requirements.The individual prepares and reviews various types of correspondence, reports, and documents, including handwritten and electronic drafts. They compile and sign nontechnical correspondence, consolidate information for reports, and gather and summarize information for the supervisor. They proofread and edit documents for grammar, spelling, capitalization, punctuation, and format. They review and process incoming and outgoing correspondence, materials, publications, regulations, and directives, and monitor suspense dates. They coordinate the work of the office with other offices and organizations, ensuring formal internal and external coordination procedures are followed. They also receive and answer telephone calls, refer visitors to appropriate staff, and provide follow-up on requests for information. They maintain the supervisor's calendar, coordinate meeting arrangements, and schedule meetings and conferences. They also perform administrative and clerical work in support of the office, establishing, updating, and maintaining office procedures and records. They use multiple office automation software to produce complex documents and perform complex office automation duties independently.In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions here and review under the heading Clerical and Administrative Support Positions.

SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade NK-02, or equivalent in other pay systems. Examples of specialized experience includes preparing and proofreading/editing correspondence and documents for correct grammar, spelling, capitalization, punctuation and format; maintaining files/records; making and preparing travel arrangements; and preparing various reports, inquiries, and nontechnical correspondence.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas:
1. Knowledge of extensive rules, procedures, operations, functions, and commitments applied to secretarial clerical assignments to perform the procedural and administrative work of the office, such as screening calls and visitors, maintaining supervisor's calendar, preparing, reviewing and editing documents, locating and assembling information for various reports, maintaining files/records, and making and preparing travel arrangements.
2. Knowledge of correct grammar, spelling, punctuation, capitalization, and format to accurately prepare and edit written correspondence and reports, and transcribed material.
3. Knowledge of various office automation software programs, tools, and techniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs.
4. Skill in typing; a qualified typist is required.
5. Ability to communicate effectively, both orally and in writing.

PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
